Dusty Trails Jeep Club By-Laws
Article 1: Name and Purpose
• Name: This Not-For-Profit organization shall be known as the Dusty Trails Jeep Club. Hereafter in this document is referred to as "DTJC" or "club". The club shall operate under the Laws of the State of Oklahoma for Non-Profit Organization 501c7, Social & Recreational Club.
• Purpose: To promote safe and responsible off-road driving, foster camaraderie among Jeep enthusiasts, and support community and environmental initiatives. We strive to create a welcoming family-friendly environment where members can connect, learn, and explore together.
Article 2: Membership
• Eligibility: Membership is open to all Jeep owners who share the club's values, vision, and objectives. You are considered a member if you are in our Facebook club group, a family member to one of those members, or if you sign up on our website.
• If a club member sells their Jeep, the club asks that all DTJC stickers be removed prior to selling.
• Types of Membership:
• Active Member: Individuals who participate in club activities.
• Honorary Member: Individuals recognized for their contributions to the club or community.
• Revenue/Dues: Revenue/dues shall be generated by member based donations, fees for club events, raffles, sponsorships, and merchandise sales determined by the Executive Committee. The executive committee wants to keep this a free membership club.
Article 3: Meetings
• Regular Meetings: The board will hold monthly meetings at a time and place determined by the Executive Committee.
• Special Meetings: May be called by the President or a majority of the Executive Committee.
• Quorum: A quorum for conducting official business shall consist of at least 50% of active members.
Article 4: Officers/Founding Members
• Officers:
• President/Founding Member – Carrie Robertson
• Vice President/Founding Member – Matt Robertson
• Secretary – Appointed by President and Vice-President-Lori Smith
• Treasurer - Appointed by President and Vice-President-Brian Smith
• Duties:
• President: Presides over meetings, represents the club, monitors the club social medias and YouTube channel, plans club events, and oversees activities. Ability to name additional board members and replace existing treasurer and secretary as needed.
• Vice President: Assists the President and assumes duties in their absence. Ability to name additional board members and replace existing treasurer and secretary as needed.
• Secretary: Maintains records, meeting minutes, moderates the Facebook group, assists in planning events, and correspondence.
• Treasurer: Manages finances, dues, collects member based donations, fees for club events, raffles, sponsorship, and merchandise sales and prepares financial reports determined by the Executive Committee. Also, assists in moderating the Facebook group and planning events.
Article 5: Committees
• Executive Committee: Composed of all officers, responsible for overseeing all committees, decision-making and planning.
• Event Committee: Organizes club events, trail rides, parades, and community service activities.
Article 6: Code of Conduct
• Members shall adhere to the principles of safe and responsible off-road driving.
• Members shall respect the environment and practice "Leave No Trace" principles.
• Members shall treat fellow members and the public with respect and courtesy.
• DTJC reserves the right to remove any members from the club for any reason.
• Members shall remove any DTJC stickers from their Jeep prior to selling their Jeep.
• Members shall not drink alcohol or take illegal substances while driving as per applicable law(s) during club motorized events. If these violations occur during a club motorized event, the member/s will be instructed to leave. Alcohol is permitted at camp outs or other non-motorized club activities.
Article 7: Club Events
• Club hosted events must be approved by all board members.
• Members can share events they would like the club to attend, but these must be approved by two board members before sharing to the club.
Article 8: Trail Etiquette/Club Traveling
• Trash: Pack it in-pack it out.
• Club members are responsible for their families and guests.
• Wear seat belts.
• Help inexperienced drivers on the trail.
• Choose your trail line wisely, make good judgement calls, and don't be afraid to ask for help from fellow members.
• Have a GMRS radio, first aid kit, and a fire extinguisher in your Jeep.
• While trail riding, make sure the vehicle directly in front and directly in back is visible at all times. If you cannot see either vehicle, radio the lead.
• Do not walk in front of a moving vehicle on a trail and stay safely out of the way while observing members driving up obstacles.
• There only needs to be one spotter. If said spotter needs help they can ask for a back up spotter to assist.
• Driver meetings and safety protocols will be gone over at every event that involves trail riding or convoys.
• If you see something wrong, say something to the board members so it can be addressed.
• Members are responsible for coordination of their own traveling and lodging arrangements unless special arrangements have been made by the club. Members are responsible for their own food/alcohol tabs at any meet up unless otherwise stated by the club.
• Pets are always welcome, but must be kept on a leash, and controlled by their owner. Please do not bring your pets if the place the club is attending does not allow pets. It is your responsibility to check their pet policy prior to attending.
Article 9: Liability
• While trail riding, if you venture on an area not marked, or a closed area, and an officer of the law issues you a ticket, arrests you, or confiscates your vehicle, liability is borne solely by the vehicle owner and/or the person performing the illegal action.
• Neither the Dusty Trails Jeep Club (nor its officers or members) is responsible for the loss, theft, or damage to any vehicle. Personal property in vehicles is solely the owner’s responsibility. Each person is participating in DTJC activities voluntarily and are responsible for their own actions.
Article 10: Club Logo
• Use of the DTJC logo and/or club name is only allowed by board members to create club merch and share at events. Members are not allowed to use the logo at their own discretion.
• Members are encouraged to discuss with board members if they have an idea and want to use the club logo or name in any fashion. We love new ideas!
• The club name and/or logo is not allowed to be changed by any member. Only the board members can update or change the logo and it has to have approval of all board members.
Article 11: Amendments
• These by-laws may be amended by the President and Vice-President of the executive committee during any executive meeting.
Article 12: Dissolution
• In the event of dissolution, any remaining funds shall be donated to a charitable organization aligned with the club's values.
